Client Portal Terms

Using your account, documents, and communications with our team.

Effective date:

These terms cover authorized use of the New Century Business Services LLC client portal. Portal access supports an existing or prospective service relationship. It does not replace your engagement agreement or authorize us to perform additional work.

Accounts and authority

Use only an account issued to you and records you are authorized to access. A business representative must have authority for the business and the information submitted about owners or employees. Keep your credentials private, use available account-security features, and tell us promptly about suspected unauthorized access.

We may restrict or suspend access reasonably necessary to address misuse, security concerns, legal requirements, or termination of the relationship. Contact us for an appropriate alternative method of obtaining records you are entitled to receive.

Documents, instructions, and deadlines

You are responsible for the accuracy and completeness of your submissions and for reviewing documents and requests for approval. Keep your own copies of original records and signed documents. Tell us promptly about errors or changes.

An upload, portal message, status display, or notification is not confirmation of a filing, tax deposit, payroll release, or acceptance of a time-sensitive instruction. Follow the process, cutoffs, and approvals in your engagement agreement. For an urgent deadline, contact our team and obtain confirmation.

Sending documents does not itself authorize a bank debit, government filing, signature, payroll transaction, disclosure of tax information, or new professional engagement. Any required authorization is obtained separately.

Acceptable use and confidentiality

Do not share accounts, impersonate users, access another client’s records, bypass permissions, introduce malicious files, or copy information for an unauthorized purpose. Upload only records you may lawfully provide.

We process portal information as described in our Privacy Policy and applicable client notices, subject to confidentiality duties and law. Portal acceptance acknowledges the privacy notice; it is not a blanket consent to unrelated marketing or use or disclosure of tax return information.

Availability and service agreements

Maintenance, network issues, security events, or external providers can interrupt portal access. We do not promise continuous availability or that a notification will always reach you. Use an agreed alternative communication channel when needed.

Fees, scope of work, payment obligations, professional responsibility, remedies, and any service-specific liability limits are governed by the accepted engagement agreement and applicable law. These portal terms do not add a professional-services liability cap or waive nonwaivable rights. Where a signed engagement agreement conflicts with these terms regarding professional services, the signed agreement controls.

Acceptance and updates

For email-based account setup, we ask you to affirmatively accept these terms and acknowledge receipt of the Privacy Policy. We retain the accepted versions, language, account association, and server-recorded acceptance time. This acceptance does not sign a service engagement or any separate tax-information consent.

We publish revisions with a new effective date. Material contractual changes requiring acceptance will be presented for agreement before they apply. These terms do not impose mandatory arbitration or a class-action waiver, and do not restrict honest reviews or complaints to regulators.
